Email. Website landing page. Donation platform. CRM. Form builder. Event ticketing tool. Social scheduling. Analytics dashboard. Sometimes it feels like you need a Gantt chart just to keep track of your tools — let alone your supporters.
We’re hearing more and more from charities who are experiencing platform fatigue:
- Juggling disjointed tools
- Duplication of data
- Too much manual admin
- Multiple fees to pay
- Difficulty reporting on the full supporter journey
- Confusion over where the "truth" lives
At a time when many charities are being asked to do more with less, we need to stop and ask: Are our digital tools helping, or hindering, supporter engagement?
So, what’s causing the fatigue?
- Over-tooling: Adding a new tool for every new function without thinking about long-term integration or sustainability.
- Lack of strategy: Choosing tools based on short-term needs rather than how they work together in a bigger picture.
- Internal pressure: Different teams adopting platforms independently, leading to silos.
- Fear of change: Sticking with legacy systems that no longer fit but feel too big to replace.
What can charities do about it?
Audit your platforms regularly
Map out every platform you’re using — what’s its purpose? Who uses it? How much is it costing? What does it integrate with? Is there duplication?
Look for consolidation opportunities
Could one platform handle multiple functions? Are there tools you’ve overlooked in existing systems (like automation or reporting) that could reduce the need for others?
Prioritise data flow and supporter experience
It shouldn’t matter to your supporter which tool you’re using behind the scenes. The journey should feel connected and frictionless — and your reporting should reflect that too.
Ask your providers the right questions
Can they integrate with your CRM? With your payment gateway? With your main website? Do they support your Gift Aid needs? How easy is it to adapt their tool to your workflows? The right provider should offer flexibility, not lock-in.
At Dreamscape, we see first-hand how simplifying digital infrastructure helps charities focus on what matters most: creating meaningful, long-lasting connections with supporters.
Sometimes, less really is more.
